Welcome to the Q-Turn 2020’s Privacy Notice.

Q-Turn is an international workshop series in the research fields of quantum information technology and foundations. In the course of putting on the conference, we are required to request, collect, store, share, manage and destroy personal data from speakers, attendees, organisers, and those on the mailing list.

Q-Turn gathers and processes personal data about you for the sole purposes of putting on the conference and as a result, we act as a “Data Controller” as defined by the General Data Protection Regulation (GDPR).

Q-Turn respects your privacy and is committed to protecting your personal data in compliance with all data protection legislation. This Privacy Notice summarises how we look after your personal data.

1. The data we collect about you

We may request, collect, store, share, manage, and destroy different kinds of personal data about you which we have grouped together as follows:

  • Identity Data includes first name, last name, username or similar identifier, title, date of birth, nationality, and gender.
  • Contact Data includes billing address, delivery address, email address, and telephone numbers.
  • Financial Data includes bank account, payment card details.
  • Academic Data includes abstract submission, institutional affiliations.

We also collect, use, and share Aggregated Data such as statistical or demographic data for the purpose of reporting and statistics of the conference. Aggregated Data may be derived from your personal data but is not considered personal data as it does not directly or indirectly reveal your identity.

2. How your data is collected
All data we collect about you for the purpose of putting on the conference is via direct interactions and submitted by yourself. This will be collected, for example, when you apply for the conference, register for the conference, submit a talk, apply for any prizes or awards for the conference, apply for financial support, request to join the mailing list, give us some feedback.

3. How we used your personal data
We will only use your personal data when the law allows us to. Your data is used for the sole purpose of organising and running the conference, including generating anonymous statistics for reporting purposes. Example use cases include contacting you, calculating anonymised statistics on attendees, and the conference, to assess submissions to the conference, to transfer any finance.

We will only use your personal data for the purposes for which we collected it. You will be asked for permission if we wish to change the use of the data.

4. Disclosures of your personal data
Q-Turn uses “EasyChair” to process conference submissions. In order to do this, your data will be processed through their system. Details of their Privacy Policy can be found here (https://easychair.org/privacy).

Additionally, Q-Turn will receive technical support from “Laniakea Management and Communication” (https://www.laniakeacommunication.com/) for the duration of the conference. Details of their data processing policies can be found by emailing [email protected]

 

5. Data security
We limit access to your personal data to those organisers who have a business need to know. They will only process your personal data for use by the conference, and they are subject to a duty of confidentiality.

 

6. Data retention
We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

In some circumstances, we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.
